1. What we collect
Texas Coating Solutions ("TCS") collects information you share with us directly: name, work email, phone number, company, shipping address, and any project notes you submit through our request or sample forms. For B2B accounts, we additionally store order history, SOPs, blueprints, and the structured data derived from them (formulas ordered, certifications used, quantities, pricing snapshots).
2. Why we collect it
We use your information to respond to sample, quote, and contact requests; fulfill orders; deliver transactional email (confirmation, shipping, reorder-diff notifications); and comply with tax, accounting, and AHJ- submittal recordkeeping obligations. We do not sell your information. Marketing email is opt-in only and is separate from the transactional messages the platform sends.
3. Who sees it
Your information is accessible to TCS sales, lab, and production staff necessary to service your request. We share limited operational data with third-party processors (email delivery, object storage, error tracking) bound by data-processing agreements consistent with this policy.
4. Security
We use industry-standard controls to protect your data in transit and at rest. Access to production systems is restricted and audited. Sensitive attachments (blueprints, certification PDFs) are stored in a private object store and only served via time-limited signed URLs.
5. Retention
Records associated with orders are retained for the longer of seven years or the retention period required by applicable tax and AHJ-submittal law. Sample-request records without an associated order are retained for two years unless you request deletion sooner.
6. Your choices
You may request access to, correction of, or deletion of your personal information by emailing info@texascoatingsolutions.com. Deletion may be constrained by recordkeeping obligations described above, in which case we will explain what must be retained and why.
7. Business-account requests
When you use our business-account request form, TCS collects the business and contact information you submit—such as company details, your name, work email, phone number, and the notes you provide. If you request a sample, we also collect sample-qualification information (for example your target color, project, substrate, coating-line details, and the sample shipping location). We use this information to review and respond to your request, and it may be routed to an appropriate TCS team member. We may use it to discuss account access, products, samples, availability, and related next steps.
Form submissions are transmitted and processed through a third-party form-processing provider on our behalf. Inquiry records are retained only as reasonably necessary for business, security, and legal purposes. If you affirmatively opt in to SMS updates on the business-account form, we also retain a record of that consent (including the time it was given) as evidence of your opt-in.
Please do not submit passwords, banking information, payment-card information, Social Security numbers, EINs, tax documents, file uploads, or other sensitive information through this form.
8. SMS Messaging
Texas Coating Solutions may send one-to-one informational text messages only after receiving consent. These messages may relate to product inquiries, powder coating samples, product testing, scheduled visits, appointments, order status, pickup and delivery coordination, and customer support.
Message frequency varies. Message and data rates may apply. Recipients may reply STOP to opt out or HELP for assistance.
Mobile phone contact information and SMS consent data will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Information may be shared only with service providers necessary to deliver and support the messaging service.
Consent to receive text messages is not a condition of purchase.
9. Updates
If we make material changes to this policy, we will update the "last updated" date above and, for B2B accounts, notify the primary contact by email before the change takes effect.
